How to perform an Inventory?
Count physically: scan the location, register each item, and close the location only once you have finished counting it.
Instructions
- Go to the Inventory menu, available on the side menu or the home page of the application.
- Open the Inventory by Location submenu.
- On the inventory you created, select the barcode button (Take Inventory). It only appears on inventories that are still open for counting.
- Scan or enter the location code (it can only be a Physical Location). Until you hold a location, the scan box asks you to Scan the location you are counting from and only the Location option can be used.
- Once the location is accepted, the status strip at the top of the screen shows it, together with only you are counting here — nobody else can count it while you hold it — and the number of lines you have registered there.
- Scan or enter the volume or product code.
- If the application can't tell what you scanned, it keeps the code and asks What did you just scan?: tap Location, Volume or Product. You can also pick the type before scanning, with the buttons next to the scan box.
- Enter the lot and expiry date if the product asks for them, and the Quantity.
- Select Register Line. The line is added to the count and the location stays open for the next scan.
- Put in Quality, next to it, registers the line the same way but marks the stock for quality control.
- Once you have counted everything in that location, select Close Location at the bottom of the screen and confirm. This button only appears while you are holding a location.
Note: Register Line and Close Location do different things. Registering a line only adds it to the count. Closing marks the location as counted and releases your hold on it: from then on you can no longer add articles/volumes to that location. If you scan another location while holding one, or select Back, the application also asks you to close the current location; if you cancel, you stay on the same location. To reopen a closed location, select History, open the Locations tab and use Reopen Location. This option is only available to users with permissions above Operator, such as supervisors and administrators, and not once the inventory is finalized.
Following your progress
If the inventory's area held stock when the inventory was created, the status strip also shows Locations with stock: the number of locations already closed against the number that held stock when the inventory was created, with a progress bar. Select Detail to open a panel with two tabs:
- At this location — what you have already counted at the location you are holding, and what was still expected there, marked not counted.
- Locations — the locations in this inventory that have already been started, with their state (Open, Closed or Reopened). Locations nobody has started counting don't appear in this list.
The panel is for reference only: you don't need to open it to count.
Please note
When creating an inventory, if you choose a specific zone in the warehouse, only the physical locations created under that zone will be validated.
