A general WMS treats expiry as an informational field and the lot as free text. In a food and beverage warehouse, those two things decide what ships, what stays on hold and what you can prove in an audit. These are the four areas where the difference shows up every day.
Most systems sort the pick list by expiry date and hope the operator follows it. When the right pallet is at the back of the aisle and the cut-off is close, the suggestion loses. Enforcing FEFO means the terminal only accepts the lot the system nominated: if the operator scans a different one, they have to record a reason, and that reason is stored with user, timestamp and lot. The practical value isn't discipline, it's having an explanation for every exception when a customer complains they received shorter dates than the stock you were holding.
Almost every retail contract requires a minimum percentage of remaining shelf life on delivery, often two thirds. If that rule lives in the buyer's spreadsheet, the warehouse accepts pallets it later can't ship. In the WMS the rule belongs to the item and the supplier: when the expiry date is scanned at goods-in, the system calculates remaining days, compares against the minimum and blocks or quarantines the line that fails, before anything is put away. Accepting a short-dated delivery becomes a deliberate, recorded decision instead of a discovery three weeks later.
The legal obligation in the food chain is to say who you received each lot from and who you sent it to. That only works if the lot is captured at receipt, carried through put-away, replenishment, picking and palletising, and tied to the outbound document and the customer. The system maintains that chain with no extra work: every stock movement stores lot, expiry, location, operator and source document, so querying a lot returns its inbound receipts and outbound shipments without manual reconstruction.
Frozen, chilled and ambient aren't just different aisles, they're different rules. Locations carry a temperature zone, items carry the zones they're allowed in, and the system refuses a put-away that would place chilled stock in an ambient location. On the outbound side, orders can be split by zone so the picker doesn't walk ambient product through the cold room, and the time product spends outside its zone becomes visible instead of invisible.

A recall isn't tested on the day it happens. What decides the outcome is the quality of the data captured weeks earlier.
The first step is knowing where the lot is now: which pallets, in which locations, in which warehouses, including anything moved between locations or consumed in kitting. With the lot attached to every movement, that list comes out of the system instead of out of the warehouse manager's memory.
Next you need to know where it has already gone. The link between lot, outbound line, shipping document and customer lets you list every affected delivery and contact only the customers who actually received the goods, with real quantities and dates, instead of warning your whole book as a precaution.
Mock recall drills nearly always fail for the same reason: the lot was written on paper at goods-in and transcribed later, or it was recorded at order level rather than pallet level. When that happens you can't say which pallet of an item went to which customer, and the recall widens to stock that was never affected.
Expiry isn't only a quality topic. Every day a lot spends in the warehouse changes what you can do with it and at what price.
Once a lot enters the window where it no longer meets your retail customers' minimum shelf life, it stops being ordinary stock and becomes a decision: an alternative channel, a discount, or a write-off. What matters is seeing that list early, by item and by days remaining, rather than finding it when the order fails at dispatch.
A use-by product cannot legally be shipped past its date. A best-before product loses quality but remains sellable in some channels. Applying the same hard rule to both creates waste; applying the same soft rule to both creates risk. The system distinguishes the two behaviours per item, so the automatic block applies where it has to and not where it doesn't.
Accepting a pallet with insufficient remaining life looks like it solves the day: the truck is unloaded, the supplier doesn't argue, the dock clears. The bill arrives later, when that stock can't go to the customer who requires two thirds of shelf life and has to move through a lower-margin channel, or doesn't move at all. Raising it at the moment of receipt, with the system record as evidence, is the only point at which the cost is still the supplier's.
